Run the full trainee programme — from policies to portfolio

The Trainee Driver module guides you through a five-step pathway: policies and agreements, training schedules, groups, enrolment and training-cycle assignment. Once live, each trainee gets a portfolio for policies, equipment, modules, attendance, train logs and reporting.

Note. Core Rail Intel already includes trainee hours and daylight/darkness progress on the Experience Records tab. This module adds the programme management around it.

Step 1

Policies & agreements

Must exist first. Trainees sign these when they start — Module 1 and other training activities cannot begin until required policies are signed.

Step 2

Training schedules

Build the programme first — set a start date and Rail Intel projects the full timeline automatically, bank holidays and working-day rules included.

Step 3

Groups / classes

Label cohorts of up to 10 trainees after a schedule exists. Each group ties enrolment to a named intake.

Step 4

Allocate trainees

Enrol trainees onto a schedule and assign them to a group. Link a driving instructor and start date; assign a training cycle now or in step 5.

Assign training cycle

Link each person to a live training cycle so monitoring and assessments can be captured. Filter by group and class to manage allocations.

Live programme

Trainee portfolio

Once enrolled, each trainee gets a portfolio: policies, equipment log, modules, attendance, train log and report — with experience hours, instructor allocation and compliance status at a glance.

On QA verification reports

Trainee Driver manages the programme; it is not a standalone compliance audit. When the QA Verifications add-on is purchased and activated, verification runs can check trainee programme compliance against live record data.

Trainee-related outcomes — such as unsigned policies, portfolio gaps and programme status — form part of the employee verification report alongside competency, medical and licence sections, with run history retained for audit.

  • QA Verifications is a separate add-on — activate it from the Add-ons page when you need structured checks.
  • Compliance checked on demand against the trainee portfolio and related employee record data.
  • Included in the verification report with section-level outcomes, not a separate spreadsheet.

Activating Trainee Driver

Add-on modules are activated from the Add-ons page inside Rail Intel. Each module can be taken on an annual subscription or trialled for 14 days, and your system administrator can enable it for your company directly.
